Not every business needs an AI agent. If you get the same five to ten questions every day, a simple chatbot with automatic replies for hours, address and prices can pay back in weeks. An AI agent is a bigger step, so it is worth choosing on purpose.
The difference
A simple chatbot follows rules you write: if the customer picks "hours", it sends the hours. It is predictable, quick to set up and cheap to run, but it breaks when someone asks something you did not plan for. An AI agent understands free-form questions and can look things up, qualify a lead or book an appointment, but it needs more testing and more review, and it costs more to run.
When the simple option wins
Choose the chatbot when your questions are repetitive, your answers rarely change, and a wrong answer is not costly. It is also a good first project to learn how your customers write before you invest in something bigger. WhatsApp Business has built-in tools like quick replies and automated messages, so part of this can be set up without building anything.
Illustrative numbers only, to show the math. They are not RushRush results or a promise. Use your own numbers.
- 20 minutes a day answering FAQs, 22 days a month, is about 7.3 hours.
- At $25 an hour that is about $183 a month.
- If the setup costs $600, payback is about 3.3 months.
When to move to an agent
Move up when customers ask many different things, when you lose leads because nobody replies after hours, or when you want to book appointments and qualify leads automatically. A Harvard Business Review study of 1.25 million leads, summarized by SmartCompany, found firms that responded within an hour were nearly seven times more likely to qualify a lead than those that waited even an hour longer. A study of about 5,000 support agents found that an AI assistant raised issues resolved per hour by 13.8%. Both studies are specific, so use them as direction. See the return of AI agents for the math.
Always keep a human exit
Whatever you choose, give customers an easy way to reach a person, and say clearly when they are talking to an automated assistant. Read the first conversations every day. For the precautions, see AI on WhatsApp for customer service.
